Centric Health Resources is a specialty pharmacy provider to individuals with rare, orphan and chronic disorders. Their new and innovative approach focuses on improving the lives of these individuals, integrating the delivery of specialized pharmacy services with comprehensive patient centered health management services and patient advocacy support.

After conducting a thorough analysis of internal processes, Centric Health Resources (CHR) established that they needed a computer-based system that would allow them to streamline and automate their training. At the time CHR managed and delivered their training through classrooms and paper-records.
 
Although CHR is not regulated by the US FDA (Food and Drug Administration), they adhere to the strict compliance guidelines to ensure that the organization meets FDA standards for quality service to patients as mutually agreed upon with their clients. The new system had to be 21 CFR Part 11 compliant, as well as provide the ability to create, deliver and track all training to internal employees and external audiences, including importing SCORM compliant courseware.
 
Solution
Cobent’s Learning Compliance Suite (LCS) was chosen from other industry providers for its Part 11 compliance, balance of functionality, cost-effectiveness, and accessibility to external learners. LCS’s ‘footprint free’ platform, was a key element in the decision making process; giving CHR the flexibility and ease to open the system to external learners without having to support external systems.
 
LCS is used to develop, deploy, track, manage and report on all aspects of Standard-Operating-Procedure (SOP) training within the organization. The built-in content authoring tool allows Centric’s Instructional Technologist to develop courses unique to the organization’s services; and other key functionality allows CHR to track and manage training to a granular level. LCS also enables CHR to audit individual and corporate training so the organization can demonstrate the high quality levels of its operation and service.
 
 
Since moving from the paper-based system to Cobent LCS Centric has:
 
  • REDUCED NEW HIRE SOP TRAINING TIME
    New hire training on SOP’s has become much more streamlined for CHR. Historically it took some new hires as much as 30 to 60 days to complete all job-related SOP training. With LCS the training time taken has significantly dropped to 7 days or less.

  • ELIMINATED REPEAT-TRAINING
    Centric is committed to high quality standards and compliance and therefore adheres to strict policies for completion of SOP training. Due to the nature of paper-based record keeping, sometimes these records can be misplaced. If a record of completion can’t be found, the employee must repeat the SOP training. Since implementing LCS, records of completion are automatically stored against the employees’ training records, and CHR is able to easily run reports instead of needing to research through reams of paper related to each SOP on file. As part of LCS Part 11 compliance, these records are archived and cannot be deleted.

  • ENHANCED TRAINING DELIVERY & EFFECTIVENESS
    Through LCS’s group management feature, Centric is able to provide targeted, personalized training based on an employee’s group membership and job-role. One department has eliminated ‘SOP update meetings’, which usually lasted 4 hours. Instead of employees listening to all the updates on an SOP, an employee is notified of updates (related specifically to them) via the system and can complete the training at their convenience. An LCS audit report showed that employees took on average of 45 minutes from start-to-finish to update on a major SOP release – that’s a 3 hour and 15 minute difference per employee. In addition to time savings, each SOP has its own quiz or assessment to ensure the relevant information is internalized by each employee improving the effectiveness of the training.

  • IMPROVED CONTROL OVER THE TRAINING PROCESS
    the centrally managed system provides Centric with full control and visibility over the SOP training process. LCS provides easy, real-time accessibility to reports for informed decision making.


The Future
Centric is looking to expand the system from online SOP training to help manage On-the-Job (OJT) and classroom based training. As part of the original requirement, there is also scope to expand the system to train patients and partners, such as nurses and suppliers, helping to ensure that they too can deliver high quality services and treatments for patients.
